About the Role: Seeking a highly organized, polished, and proactive Executive Virtual Assistant to provide high-level support to the CEO and a roster of prestigious clients. This is a critical role that requires a blend of project management and impeccable communication. This is a position for a "closer"—someone who doesn't just manage a list but actively pushes projects forward. You will be at the heart of the operations, helping authors bring their stories to the stage.

Key Responsibilities:

  • Inquiry Management: Act as the primary gatekeeper; you must stay "on top" of all incoming and outgoing inquiries, ensuring no communication falls through the cracks and responses are timely and professional.
  • Calendar & Stakeholder Management: Own the schedules for the CEO and  clients, ensuring seamless transitions between meetings, media appearances, and deadlines.
  • Media Kit Project Management: Work directly with the graphic designer to oversee the creation of professional media kits, ensuring they align with client branding and are delivered on schedule.
  • Author Support & ARC Distribution: Manage the strategic distribution of digital ARCs (Advance Review Copies) to reviewers and influencers, maintaining meticulous records of who has received what.
  • Media Coordination: Handle the distribution of essential materials to guest hosts and external stakeholders.

Qualifications:

  • Overall Experience: 4 years’. 
  • Industry Experience: Must have a background working specifically within the book publishing or PR space.
  • Communication: Fluent in English with a clear, professional speaking voice and a "client-first" attitude.
  • Administrative Excellence: High attention to detail with a focus on meticulous recordkeeping and professional proofreading.
  • Project Management: Proven ability to multitask and manage creative workflows (specifically working with designers).
  • Ethics & Professionalism: Require a confident, ethical individual who can represent the Director with poise and integrity.

Nice to have: 

  • Previous client-facing experience where you were the direct point of contact for high-level stakeholders.
