Minimum Requirements
• Matric (Grade 12) required; Diploma in Office Administration, Business Management or Project Management advantageous.
• 1–3 years’ experience in administration, reception, project coordination or bid support.
• Exposure to property, construction or professional services environment preferred.
Key Competencies
• Strong organisational and multitasking abilities.
• Excellent communication and stakeholder management skills.
• Attention to detail and accuracy.
• Proficiency in MS Office Suite.
• Ability to coordinate multiple projects simultaneously.
Key Responsibilities
1. Project Coordination (Primary Responsibility)
• Coordinate multiple valuation, asset management, GIS and consulting projects from initiation to completion.
• Maintain project plans, action registers and trackers.
• Follow up daily with Project Managers, Professional Valuers, Candidate Valuers, GIS Specialists and Directors on outstanding actions.
• Track milestones and escalate risks or delays.
• Coordinate meetings, agendas, minutes and action items.
• Prepare weekly and monthly project status reports.
• Coordinate project documentation and deliverables.
• Support mobilisation and setup of new projects.
2. Stakeholder Coordination
• Act as the central coordination point with banks, municipalities, SOEs, government departments, valuers, attorneys, surveyors, engineers, quantity surveyors, clients and property owners.
• Follow up on outstanding information, approvals and deliverables.
• Schedule meetings, inspections and stakeholder engagements.
• Monitor turnaround times and ensure timely responses.
3. Project Administration
• Maintain project files and document registers.
• Track contractual deliverables and reporting obligations.
• Support invoicing through milestone tracking.
• Ensure compliance with Lutendo Group document control and quality systems.
4. Bid & Tender Coordination
• Coordinate tender submissions and compliance documentation.
• Maintain bid registers and submission schedules.
• Monitor tender outcomes.
5. Office Administration & Reception
• Manage reception, calls, visitors and correspondence.
• Coordinate meetings, boardrooms and office administration.
• Assist Office Manager with Maintaining office supplies and records.
