Event Operations & Delivery Coordinator Role
We are a UK-based event management business delivering high-end corporate events and international experiences across the UK and Europe.
We are a small, close-knit team who work collaboratively and support each other. We value clarity, organisation and reliability, and we take pride in delivering events that run smoothly and feel well put together.
Our work includes company offsites, corporate festivals, incentive travel, wine tastings and ski trips.
Role Overview
This role sits at the centre of our event delivery. Once an event is confirmed, you will take responsibility for coordinating all elements of execution; ensuring suppliers, timelines and logistics are aligned and nothing is missed.
Alongside this, you will support the delivery of marketing activity by implementing content, campaigns and updates set by the team.
This is a hands-on role for someone who is highly organised, proactive, and takes pride in keeping things running smoothly.
Location: Remote, South Africa.
Hours: 45 hours per week (full time)
Reporting to: Managing Director
Contract Type: Independent contractor. You will be responsible for your own tax and statutory obligations in South Africa.
Salary: 35,000 ZAR per month, 420,000 ZAR per annum
Bonus: Up to 10% discretionary bonus (based on personal contribution and overall company performance)

Key Responsibilities
Event Coordination & Execution
- Build detailed run sheets and event timelines
- Coordinate suppliers against agreed deliverables
- Manage guest lists and event data
- Ensure all aspects of the event are progressing as planned
Supplier Coordination (Post-Procurement)
- Act as the coordination point for confirmed suppliers
- Confirm details, timings and requirements
- Chase responses and ensure readiness
- Maintain clear and structured communication
Operational Control & Organisation
- Maintain accurate records in Monday.com
- Track actions, deadlines and responsibilities
- Ensure all documentation is complete and up to date
- Keep all event information organised and accessible
Financial & Admin Support
- Maintain cost trackers for live events
- Track supplier invoices and purchase orders
- Flag discrepancies or missing information
- Support the accounts process
Process & Workflow Support
- Maintain templates, checklists and systems
- Support consistent ways of working across events
- Help bring structure and clarity to day-to-day operations
Marketing Administration (Execution)
- Upload and format blog content on the website
- Schedule and post social media content
- Build and send email campaigns (Mailchimp or similar)
- Set up forms, automations and workflows
- Update CRM and track leads
- Pull performance data and reports
What This Role Does Not Do
- Does not source or select suppliers
- Does not build proposals or pricing models
- Does not define marketing strategy or messaging
Skills & Experience
- Strong organisational and coordination skills
- High attention to detail
- Experience in events, operations or project coordination
- Able to manage multiple moving parts at once
- Proactive and reliable
- Comfortable working remotely with minimal supervision
Desirable:
- Experience in events or hospitality
- Experience using Monday.com or similar
- Experience with Xero or finance tracking
- Experience with Canva
