Conveyancing Secretary – Bonds
An exciting opportunity exists in the Real Estate Department in the Johannesburg office for a Junior Bond Secretary. The ideal candidate needs to be a proactive legal secretary who will provide conveyancing and administrative support to the team. A hardworking, self-motivated individual with excellent interpersonal and organizing skills and the ability to work independently with minimal supervision will thrive in the position. Teaming is important, as the individual will be working within a larger team and direct internal team under a senior conveyancing secretary and consisting of approximately seven people.
Qualifications and Experience:
Matric/Grade 12
At least five years of experience with attending to bond registrations, specifically with Absa and Standard Bank bond panel work
Proficiency in LexisConvey, E4, StorDoc, Lexis Sign, and AJS
Experience in development bond work and a paralegal, secretarial, or administrative diploma in conveyancing could be advantageous.
General Administration and Correspondence:
Manage phone calls, arrange client appointments, and book boardrooms
Maintain the team’s filing system and ensure FICA compliance
Perform administrative, legal, and secretarial activities for the Director.
Preparation of Legal Documents:
Draft correspondence, deeds, and documents using conveyancing packages
Respond to queries within the standard conveyancing process and compile non-standard correspondence as required
Proofread and correct all prepared documents
Conveyancing Administration:
Receive and peruse bond instructions, prepare loan documents, and ensure timely progress reporting
Conduct legal searches, check title deeds, and manage electronic systems
Liaise with clients and outside conveyancing firms, and ensure compliance with Service Level Agreements (SLA)
Prepare loan documentation, draft powers of attorney, and manage building documentation for property development matters
Track matters in the deeds office and inform clients of registration progress.
Accounts and Debtor Administration:
Handle financial aspects of property transactions, manage invoicing, and follow up on outstanding debts
Liaise with the accounts department regarding payments and trust funds
Knowledge, Skills, and Abilities:
Proficiency with MS Office
Excellent typing, communication, and organizational skills
Knowledge of accounting principles, legal documents, and the mission of the legal division
Ability to work under pressure, exercise discretion, and maintain confidentiality
