MAIN PURPOSE OF THE JOB

To ensure that the capital equipment administrator function operates efficiently and effectively, and quotes and tenders are processed and submitted timeously, supporting the Marketing Department, and working symbiotically with CE & Technical Department, whilst assisting with ad hoc administration tasks as needed, and to work within the Company’s Quality Management System framework.

REQUIRED MINIMUM EDUCATION: Matric (Grade 12)

MINIMUM PREVIOUS WORK EXPERIENCE: 3-5 Years in a related field specific to the requirements of this role.

DESIRABLE ADDITIONAL EDUCATION, WORK EXPERIENCE AND PERSONAL QUALITIES :

  • Computer Literacy: Excel, Word, Outlook, OneDrive, MS Teams.
  • Effective Time Management and Record keeping; Methodical;
  • Able to work under pressure;
  • Effective communication and interpersonal skills with superiors, colleagues and suppliers;
  • Attentive to detail, and ability to multi-task and to be able to use own initiative.

JOB OVERVIEW

The Capital Equipment Administrator will manage the end-to-end administration of capital equipment activities, including:

  • preparing customer quotations within required timelines
  • linking and maintaining records in the CRM system
  • updating pricing and costing files
  • processing customer orders in Macola
  • placing and monitoring supplier orders
  • controlling equipment and spare-parts inventory, and ensuring suitable product literature is available.

The role also coordinates:

  • equipment demonstrations and supporting documentation, evaluation forms, equipment readiness and demo-room upkeep
  • manages tender documentation through to internal assessment and submission
  • compiles accurate monthly reports
  • maintains filing and archives, and provides flexible administrative support across the Capital Equipment team.

The position will also support equipment servicing and repairs by:

  • processing quotations and invoices
  • maintaining accurate service
  • repair and parts records
  • keeping related pricing files current
  • ordering parts
  • following up on outstanding orders and communicating status updates.
