Main Purpose
The Business Support Specialist supports the FBH Community by addressing process-related queries and facilitating the resolution of system related issues across FBH. This role serves as the bridge between FBH Groups/ teams and technical teams—ensuring that day-to-day operational challenges are resolved efficiently, processes are clearly understood and adhered to. The support specialist contributes to driving operational excellence through accurate information flow, improved process compliance, and continuous support of systems and tools that enable effective operational performance for the FBH community.
Key Responsibilities
Operational and Process Support
- Serve as the first point of contact for FBH operational queries, providing timely and effective resolutions
- Be proactive in problem identification and incident resolution
- Provide ongoing coaching and support to users on processes and system difficulties/issues
- Support implementation of new business processes, systems, and technology initiatives.
- Coordinate communication between technical teams and FBH community to ensure consistent understanding of operational directives.
- Maintain and update business support documentation, frequently asked questions (FAQs), and knowledge libraries.
- Identify inefficiencies in current workflows and propose change improvements, refresher training, etc
- Participate in cross-functional projects aimed at improving FBH operations
- Provide input into the development and maintenance of training materials, quick guides, and FAQ documents
Masterdata Management
- Execute master data management across systems
- Liaise with IT or system administrators to resolve data integrity, integration, etc issues.
- Support testing, training, and rollout of system updates or new tools.
Reporting & Analysis
- Prepare and distribute key incident management reporting for management review.
- Analyse trends, support ticket volumes, and issue categories to identify root causes and improvement opportunities.
Technical and Functional Competencies
- Exposure to retail buying, technology, planning, and sourcing processes with a buying, technology and sourcing process and systems focus (i.e. RMS, Tradecloud, Supplier Portal, Centric PLM, Reporting)
- Excellent problem-solving skills
- High proficiency in Microsoft 365 (Excel, PowerPoint, SharePoint, Teams, Outlook).
- Experience in business process improvement
- Excellent understanding of the technical/functional processes in Woolworths FBH Business
- Creative ways of translating business content into innovative and sustainable knowledge sharing / training methods
