Business Operations Manager

About The Role

We are seeking a highly organized, systems-minded, and resourceful Business Operations Manager to build and optimize the operational foundation of a fast-growing professional services organization. This role is ideal for someone who enjoys creating scalable processes, improving efficiency, and supporting cross-functional teams through strong operational execution.

You will work closely with executive leadership, program delivery teams, and external partners to ensure day-to-day operations run smoothly while helping prepare the organization for continued growth and expansion.

Key Responsibilities

People Operations

  • Coordinate employee onboarding and offboarding processes.
  • Manage internal team logistics and operational workflows.
  • Support a collaborative, high-performing team culture through efficient operational practices.

Project & Partner Coordination

  • Coordinate scheduling, onboarding, contracting, and ongoing support for external partners and contractors.
  • Maintain accurate records, directories, and documentation.
  • Serve as the primary operational point of contact for external collaborators.

Systems & Technology

  • Administer and maintain business systems including ClickUp, HubSpot, Slack, and Google Workspace.
  • Manage user access, permissions, and system organization.
  • Ensure documentation, files, and operational data remain organized and easily accessible.
  • Maintain strong data hygiene across internal platforms.

Process Improvement

  • Develop, document, and continuously improve Standard Operating Procedures (SOPs).
  • Identify operational bottlenecks and implement scalable solutions.
  • Build automations using tools such as Zapier, Make, or n8n to eliminate manual work.
  • Collaborate with leadership to improve operational efficiency across the organization.

Finance Operations Support

  • Support invoicing and accounts payable/accounts receivable processes.
  • Track expenses and assist with vendor management.
  • Coordinate contracts and maintain vendor documentation.
  • Assist finance leadership with day-to-day operational tasks.

Qualifications

Required

  • 3+ years of experience in Operations, Business Operations, or Operations Management, preferably within a growing organization.
  • Demonstrated experience building or improving operational processes and systems.
  • Strong proficiency with project management platforms (ClickUp preferred).
  • Advanced experience using Google Sheets or similar spreadsheet tools.
  • Exceptional organizational and documentation skills.
  • Excellent written communication skills.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Self-starter with excellent problem-solving abilities and a process-oriented mindset.

Preferred

  • Experience supporting professional services, consulting, coaching, or learning and development organizations.
  • Working knowledge of financial operations, including AP/AR, invoicing, and bookkeeping.
  • Experience with workflow automation platforms such as Make, Zapier, or n8n.
  • Experience managing CRM systems, particularly HubSpot.
