The HR Officer supports the employee lifecycle & manages end‑to‑end onboarding and offboarding, maintaining accurate employee data across HR systems, and ensuring compliance with audit and payroll requirements. The role oversees key HR administration processes, including ticket management, employee record‑keeping, and reporting, while contributing to recruitment, probation, and broader HR team initiatives.

Education & Skills

Minimum requirements:

  • Relevant Tertiary qualification in HR

Roles & Responsibilities

New employee onboarding:

  • Responsible for the New Employee Onboarding process end-to-end

Offboarding

  • Responsible for the Employee Offboarding process end-to-end

HR Ticket Management System

  • Responsible for the BDO Service Now ticketing system on a daily basis and resolve your own tickets within 48 hours.
  • Allocate tickets you are unable to resolve to the HR Practitioner or HR Manager.

Monthly Payroll Capturing

  • Responsible for the Monthly payroll input report & monthly payroll deadline email to all staff.
  • Administer employee benefit documentation (Medical aid, provident fund and group benefits)
  • Responsible for employee Long Service Awards

Data Accuracy And System Management

  • Responsible for System Management on JML, Work Day regarding new starters/leavers
  • Responsible for ensuring all new joiners and leavers are accurately reflected on the HR Dashboard and supporting audit records.
  • Responsible for ensuring onboarding, offboarding and payroll documentation remains audit ready and compliant with HR audit requirements w.r.t HR Audit Checklist
  • Responsible for employee employment confirmations; VISA Letters; etc. for EIC employees.

Employee Life Cycle Support

  • Responsible for the probation process for EIC with oversite from the HR Practitioner
  • Responsible for dealing with EIC wellness check-ins and cases where a referral has been made from the HR Manager, PM or ER Advisor with oversite from the HR Practitioner
  • Responsible for EIC HR related leave: Follow up on submissions; approve in Workday and fact checking the leave tracker with oversite from the HR Practitioner
  • Responsible for preparing and administering progression, increase and employee lifecycle documentation for EIC employees, subject to HR Manager review and approval.
  • Support the ER Advisor on the initiation of Performance Improvement Plans / incident reports for EIC only (Support in Investigation, collating information, consulting employee, etc.)
  • Responsible for the drafting of employee communication related to onboarding/offboarding/payroll/employee benefits
  • Support employees and managers with policy guidance.

Reporting & Training

  • Responsible for reporting on your owned processes on a weekly/monthly basis
  • Responsible for ensuring staff are upskilled on your owned processes
  • Assist in collating and, when required, presenting at staff events like, Townhall.
  • Support organisational development and change initiatives.
