Kumba Iron Ore

We produce high-grade iron ore, the key component in steel widely used in construction and manufacturing across the world. Our activities include all aspects – exploration; mining; processing and blending; shipping; marketing and selling. In South Africa, we have mining operations in the Northern Cape province, as well as a head office in Gauteng, and a port operation in Saldanha Bay, Western Cape.

Job Description
-As Assessment Administrator you will provide services as required and your responsibilities will include but not limited to:

Safety, Health, and Environment
Support a safe and healthy work environment where workers, external service providers, and contractors can deliver their outputs within a controlled risk environment.
Adhere to Housekeeping principles to ensure compliance with environmental requirements.
Support the compliance to MHSA in the workspace.
Active participation in SLAMs, HPHs, relevant Risk Assessments and close-out of Safety Actions.
Performance and Delivery
Assessment and Talent Management Logistics
Initiate and facilitate assessment bookings and scheduling.
Liaise with service providers regarding delivery of services and invoicing and payment
Facilitate departmental budget tracking and invoice process for all third-party payments.
Perform procurement functions
Liaise with associates/stakeholders regarding Talent management and assessment processes.
Co-ordinate the Talent Management processes
Draw and issue system-based end-user reports
Maintain compliance with Talent management and assessment standards, i.e. issuing and storing reports
Systems Control and Maintenance
Provide system-based document management and update manual and electronic systems to maintain data and generate accurate documentation.
Complete and update applicable process documentation and computer-based system requirements to record and preserve information. This applies to both the physical and online filing systems, in line with the requirements of the Health Professions Council (HPCSA), Protection of Personal Information Act (POPI), and General Data Protection Regulation (GDPR).
Review existing system documentation and develop new documentation to contribute to continuous Improvement initiatives.
Administrative Support
Collect relevant information supporting meetings, presentations, and correspondences while maintaining confidentiality and accuracy.
Manage tasks such as filing, record-keeping, scheduling, and following up on correspondence and specific task activities to meet operational requirements and client needs.
Customer Services
Promptly deal with queries and provide timely feedback to ensure efficient problem resolution and customer satisfaction.
Process orders on time and regularly follow up to ensure timely distribution to meet customer satisfaction requirements.
Financial Support Services
Assist with the cost centre financial performance analysis (budget and cost centres actively managed to ensure no errors and no overspending).
Assist with the preparation of departmental budgets and forecasts with the assistance of a senior member of the team.
Perform monthly telephone and internet cost analysis for the department through ongoing monitoring of budget and actual spending against cost centres, advise management when departmental costs are exceeding budget.
Compliance
Adhere to legal requirements and comply with company-specific policies and procedures.
Adhere to ethical requirements and guidelines by the Health Professions Counsel of South Africa (HPCSA).
Reporting on all discrepancies/unlawful practices in the IPS field.
Support the Talent and Capability department’s adherence to the highest professional standards and enhance the department’s image.

This role is in the People & Organisation (P&O) at a Band A3 level reporting to the Specialist Talent & Capability.

Qualifications

-Grade 12
Secretarial/Office Management Qualification on NQF4
SA Drivers License Code B

Experience

3-5 years of relevant experience in administration and compliance environment.
Understanding the scheduling logistics and coordinating psychological assessments and talent management initiatives.
Knowledge of effectively liaising with service providers regarding assessment services, invoicing, and payment processes.
Familiarity with departmental budgeting practices and the processes for tracking and processing invoices for third-party services.
Awareness of procurement functions related to securing assessment and talent management services.
Understanding the compliance requirements related to talent management and assessment, including properly handling reports.
