The Key Purpose of this role is to provide effective application support and system expertise within SAP Payroll and Time Management environments, ensuring the accuracy, stability, and continuous improvement of critical business systems. Through structured processes, rigorous testing, and close collaboration with internal stakeholders and external service providers, the role ensures that system updates, configurations, and enhancements are delivered efficiently and in line with business requirements.

Key Roles and Responsibilities:

Payroll System Support & Updates

  • Review and validate Payroll calendars for the new tax year.
  • Support annual updates including Provident Fund and Medical Aid contribution rates, tax rates, interest rates etc.
  • Prepare and maintain structured Excel templates for rate updates and calculations.
  • Develop service request documentation detailing SAP table changes and effective dates.
  • Log and manage service requests through ServiceNow (SNOW).
  • Engage external vendors for system configuration and updates.
  • Conduct User Acceptance Testing (UAT) and document results.
  • Perform post-implementation testing and confirm successful deployment.
  • Communicate system changes to business stakeholders and close implementation tasks.

Time Management Support

  • Resolve system errors preventing employees from booking leave.
  • Investigate and correct workflow and absence-related issues using SAP T-codes.
  • Manage and resolve SNOW tickets within SLA timelines.
  • Perform leave balance reconciliations using SAP and Excel calculations.
  • Provide detailed responses with supporting evidence to employees and managers.
  • Support configuration of new work schedules
  • Develop test cases and conduct UAT for new schedule implementations.
  • LSMW uploads for salary increases, bonuses

Monthly Payroll Processing Support

  • Analyse payroll dummy run error reports.
  • Identify system-related payroll issues and perform root cause analysis.
  • Resolve issues directly (with appropriate system access) or escalate to vendors.
  • Support transition from dummy to final payroll runs.
  • GL mapping execution on SAP
  • Assist with year end IRP5 errors
  • Create new wage type for payroll as when required

SAP Operational Support

  • Provide day-to-day SAP support to business users.
  • Investigate system issues and extract relevant data through reports.
  • Communicate findings and resolutions effectively to stakeholders.

Requirements Gathering & Enhancements

  • Engage with stakeholders to gather business requirements for system enhancements.
  • Conduct feasibility assessments and effort estimations.
  • Develop detailed business requirement specifications (BRS) including technical considerations.
  • Coordinate with external vendors for costing and solution delivery.
  • Facilitate approval processes and procurement (e.g., PO creation).
  • Oversee the full implementation lifecycle:
  • Provide user guidance documentation (“noddy guides”) for new features.

Minimum Requirements:

  • Technology related B Degree or equivalent Diploma
  • Minimum 3 years' experience in HR Systems
  • Strong SAP functional knowledge (Payroll & Time Management)
  • Analytical and problem-solving skills
  • Attention to detail and data accuracy
  • Stakeholder communication and collaboration
  • Process documentation and testing expertise
