We are looking for an Admin Coordinator to join our Operations team in Randburg.

You will be expected to control and maintain the administrative function of media campaign installations and removals, as well as surveys and feedback within the OPS team in the Randburg area. You will also be responsible for ensuring accurate stock control for the warehouse in this region.

Key Responsibilities:

Duties of the Admin Controller include (but are not limited to):

Installation administration

Check feedback on Booking System for completeness and accuracy (incl surveys).
Print and distribute instructions and distribution lists for following week.
Give timeous feedback to Sales Admin and Projects as and when required.
Download and save installation photos onto the server.
Managing all Digital installations.
Ensure all members have available and working tools
Asset allocation, return and managing thereof
Effective stock requisition as per team requirements and monthly forecast
Conduct Ticket audits

Vehicle administration

Plan and organize vehicle services when needed.
Ensure maintenance gets done as per schedule – i.e. wheel balancing.
Check if all vehicle inspections have been completed on time.
Ensure compliance of vehicle SOP at all times.
Ensure vehicle displays a good corporate image at all times.
Manage repair and maintenance of vehicles with Fleet (quotations and Invoices)

Office administration

Control pay card
Obtain and forward quotations or invoices for approval
Implement and sustain systematic filing
Control neatness and cleanliness of offices and warehouse
Control expense claim process.

Team administration

Complete attendance register & ensure all leave is loaded on leave system
Manage accommodation bookings (negotiate rate and timely bookings).
Implement health and safety procedures.
Facilitate the incident investigation form process.
Ensure route plans are kept updated at all times.
Uniform arrangements
Participate in weekly installation meeting and digital schedule meeting.
Ticket Management

Stock Management

Update regional stock sheets with vehicle and warehouse counts and movement of all Static, Digital and Radio Retail for Spar stock.
Conduct monthly Cycle counts
Keep all recons up to date.
Manage PPE stock.

Minimum Requirements:

Matric / Grade 12 with math’s
Administration/ Project Management/ Office management qualification will be advantageous
2 years Administration experience
Proficient in MS Office suite (basic – intermediate level)
